While the past few months have acclimated many of us to the world of virtual meetings, too many online participants, particularly presenters, don’t often employ best practices that can make the experience more effective for all involved. Summit Management recommends utilizing both presenter rehearsals and day of meeting checklists to ensure professional-looking virtual presentations.
Virtual Presenter Rehearsal
During the presenter rehearsal to be held within a week of the virtual meeting, you should review:
Day of meeting instructions
Online arrival time
Polling questions
Q&A with attendees
Presenter room chat
Virtual Presenter Best Practices:
Use a computer or laptop with Core i5 or better and camera built-in. (Older versions are acceptable, this is just our recommendation)
If using a Mac computer or laptop, it must be no more than two years old.
A strong internet connection is a must. A hard-wired connection is preferred, though Wi-Fi is acceptable as long as signal strength is strong.
Proper lighting required. We suggest a room with windows for natural light if feasible, though sit facing the window, not to the side or behind you. If no windows or natural light, place lighting in front of you or aimed at you rather than behind or to the side of you.
Attractive or solid backdrop with minimal photos or distractions.
Be aware and cognizant of your body position on the camera to remain on screen and focused on the camera as if you are presenting to a live audience.
Dress in solid colors different from your backdrop, and semi-formally or as you would in the live event setting.
If your organization is considering converting a live face-to-face event to a virtual one, we strongly urge you to follow these guidelines. For professional management of your “new normal” program from start to finish, contact us at info@summitmgt.com and learn more at newnormalmeetings.com.
